Attendance and access control: define the employee workflow first

Plan attendance rules, door access, exceptions and data ownership before buying readers or connecting payroll.

Separate attendance from permission to enter

A time record and a door-access decision serve different purposes. Decide which doors, shifts and staff groups are involved, and which events must reach HR or payroll. Visitors, contractors and temporary staff may need different processes. Avoid choosing a device on its feature list before the organisation agrees the workflow.

Document exceptions openly

Late arrivals, forgotten credentials, shift swaps, overnight work and manual corrections need approved handling. Identify who can correct a record and how the change is logged. A rigid system with no exception process can move the work into untracked spreadsheets. Test scenarios from actual rosters instead of only showing a successful clock-in demonstration.

Review data and integration boundaries

Confirm the necessary personal information, storage location, retention and access roles. Biometric use and employment requirements should be reviewed for the specific organisation and applicable rules. If payroll integration is required, map identifiers and test how corrections move between systems. A time device should not silently become the authority for every payroll decision.

Coordinate physical installation

Review power, cabling, door hardware, emergency egress and building approvals with qualified parties. Test normal access and failure behaviour without compromising life-safety arrangements. Configuration decisions such as what a door does during loss of power belong in a coordinated site design, not an isolated software preference.

Accept with HR, facilities and staff

Have each owner sign off the part they operate. HR checks records and corrections, facilities checks physical access, and staff test normal use. Handover should include permissions, device inventory, documentation and a support route. Review access promptly when roles or employment status change.

Take this checklist into your planning meeting

  • Attendance and door rules separated
  • Shift and correction scenarios
  • Data owner and retention
  • Facilities and HR acceptance
