Plan recording, retrieval permissions and authorised remote access as part of the CCTV system.
Agree the recording purpose and scope
Record camera numbers, image settings, operating schedules and the footage the business needs to retain. Confirm the applicable site requirements with the responsible authority and project parties before choosing a retention period. Storage depends on the selected configuration and actual activity. Ask for documented sizing assumptions and check them after the system has operated under normal conditions.
Test playback and retrieval
Choose a representative event and ask an authorised user to locate it. Verify time settings, camera labels and the process for exporting footage. Include the device or application on which the footage must be reviewed. A recorder showing a live view does not demonstrate that past footage is being recorded or can be retrieved when needed. Keep evidence of the agreed acceptance test.
Secure the remote-viewing arrangement
Identify who needs access, from which devices and for what purpose. Use the supported access design for the selected product and avoid undocumented shortcuts that expose administration. Record administrator ownership, account removal and the response to a lost viewing device. Check current manufacturer guidance when configuring the system. Test the intended remote user workflow without granting unrestricted access to unrelated business systems.
Review storage and faults routinely
Include recorder health, storage warnings, camera availability and a playback sample in the maintenance plan. Agree who receives a fault and who can authorise repair or replacement. If footage is needed after an incident, preserve the relevant information through an authorised process. Review retention assumptions when cameras, settings or premises change, and document outstanding issues in the service report.
