An office phone outage may affect reception, sales, customer support or emergency communications. The source could be the telecom line, SIP provider, PBX appliance, network power, handset registration or call routing. A short diagnostic timeline helps avoid disruptive changes.

What to do in the first 15–60 minutes

  1. Record the exact symptom: no dial tone, no inbound calls, failed outbound calls, audio only one way or a subset of extensions offline.
  2. Check with the authorised telecom provider for a service incident and note any ticket reference.
  3. Use approved device indicators to identify whether handsets, switches, internet and PBX appear powered and connected.
  4. Enable an authorised temporary published contact route if necessary; tell staff and customers how to reach the business.

How to assess the impact

Determine whether the problem is at a single extension, one branch, the PBX or an external trunk. Review recent configuration changes and SIP account alerts. Unexpected international calling or unrecognised extensions can indicate toll fraud and warrants rapid carrier escalation.

Practical recovery plan

  • Coordinate with the telecom provider and PBX administrator; avoid factory resets until the configuration is backed up.
  • Validate inbound, outbound, internal transfer, voicemail and caller ID after changes.
  • Audit passwords, call routing rules and privileged accounts if unauthorised calls are suspected.
  • Document fault cause and add provider escalation contacts to the business continuity plan.

Considerations for UAE businesses

Telecommunications services and numbering in the UAE operate through authorised providers. PBX configuration, SIP trunking and voice recording may have contractual and regulatory constraints: check with the relevant provider before making changes.

One mistake to avoid

Do not try random port forwarding or share SIP passwords to “fix” phones; this can create serious fraud and security exposure.

When to bring in emergency support

If the incident is ongoing, involves privileged access, impacts customers, affects several devices, or disrupts business-critical systems, involve an authorised incident-response professional. Specify your location, what is affected, when you noticed it and what safe containment actions have already been taken. Avoid sharing account passwords, recovery codes or confidential customer data in a first contact.
