Choose data protection controls by sensitive information, sharing paths and the decisions staff need to make.
Identify sensitive data in its working context
Select concrete examples: a customer list, a financial export, a confidential proposal or a supplier contract. Record where each item is stored and how staff normally share it. The data owner should explain permitted use and exceptions. A useful classification scheme is one employees can apply; labelling everything confidential makes it harder to prioritise the workflows that need protection.
Map the channels and proposed controls
Review email, shared storage, cloud applications, removable media and integrations. DLP addresses defined data-use or movement policies; CASB capabilities relate to visibility and control around cloud services. Product functions overlap and vary. Ask the supplier to demonstrate your chosen workflow and explain which channels are not covered. A broad product label is not a coverage matrix.
Begin with a supervised pilot
Test detection with approved sample data, avoiding unnecessary exposure of real customer records. Review false positives and business tasks that need an exception. Agree whether the first stage informs, warns, requests justification or blocks. Staff need a route to complete legitimate work when a rule intervenes. Document who can authorise an exception and when that exception will be reviewed.
Operate the controls transparently
Define who sees alerts and what information an alert contains. Review access to investigation records and appropriate retention with the responsible business owners. Connect data protection with onboarding, departure and incident handling. Measure actionable findings and recurring workflow problems. Good data protection reduces uncontrolled sharing while keeping permitted business activity understandable and supportable.
