Moving email to Microsoft 365 is often presented as copying mailboxes. The awkward problems arrive after cutover: shared mailboxes are missing, a group can no longer open files or a former employee still owns a critical account.

Find out what is actually failing

Inventory mailboxes, aliases, shared addresses, groups, calendars, file shares and applications that send email before moving. Assign a business owner to each item. Identify which users need access during the transition and what happens if the original provider takes longer than expected.

What a useful investigation should include

Test a pilot account and a representative shared workflow. Review MFA and administrator roles, then schedule DNS changes with the relevant owner. After cutover, verify external mail flow, shared mailbox permissions, mobile apps, Teams, OneDrive and document-sharing rules. Keep a rollback plan until verification is complete.

Planning around Al Ain

For an Al Ain team that coordinates with other UAE offices, test cross-site collaboration and shared permissions with users at both locations. Do not assume the project is complete because the first email arrived.

A checklist you can give your IT team

  1. Inventory users, aliases, shared mailboxes and sending applications.
  2. Confirm domain and DNS administrator access.
  3. Choose migration timing and a tested rollback procedure.
  4. Enrol MFA and review global admin ownership.
  5. Verify files, calendars and permissions after cutover.
  6. Prepare staff support for Outlook and mobile sign-in changes.

Common question

Will migration automatically preserve every sharing permission?

Not necessarily. The result depends on source systems, migration method and selected scope. Validate critical permissions with actual users.

Next step: define the job before accepting a quotation

If the issue is disrupting your work, start with the affected system, the number of people impacted, the last time it worked and any relevant error messages. Confirm whether your team authorises a remote assessment or requires an on-site visit. Ask for written scope, exclusions, data-handling precautions and a way to verify the result.
