Restaurant POS and QR ordering: test the entire order journey

Evaluate table identification, menu changes, kitchen routing, bills and failure handling as one restaurant workflow.

Follow one order from table to close

Map how a guest reaches the menu, chooses modifiers, submits an order, requests help and settles the bill. Include what the waiter, kitchen and administrator see at each stage. A QR code is only an entry point; it does not prove that the rest of the workflow is connected. Test the journey during representative service conditions.

Agree menu and stock ownership

Decide where item names, prices, availability and modifiers are maintained. Check how changes reach QR menus, tills and kitchen screens. An unavailable item should not remain orderable in another channel. If inventory or recipe deduction is included, verify the actual configuration rather than assuming it follows from the phrase restaurant POS.

Test exceptions with restaurant staff

Include duplicate submissions, a wrong table, changed modifiers, cancelled items, split bills and reprinted receipts. Confirm who can authorise a discount or void and how it is recorded. Use realistic training orders before customers are involved. The people handling a busy shift often identify issues that a feature demonstration misses.

Plan connectivity and device failures

Document what continues working if the internet, local network, printer or a kitchen display fails. Agree a temporary ordering process and how records will reconcile afterwards. Check device power and support access. A provider should explain these limits in the proposal so the restaurant does not discover them during service.

Handover permissions and support

Keep company-controlled administrator access, staff roles, device inventory and a clear escalation route. Define responsibility for menu updates, hardware replacement and software changes. Techvenation’s published Chaykhana project describes table QR access, chef workflow and administrator functions; every new restaurant still needs its own requirements and acceptance tests.
