Fingerprint, face and RFID attendance: deployment and payroll handover

Compare attendance devices by enrolment, reporting, privacy decisions and real staff workflows.

Compare attendance devices by enrolment, reporting, privacy decisions and real staff workflows.

Define the attendance process first

List sites, shifts, reporting owners and the exceptions that occur in ordinary work. Decide how missed punches, visitor activity and staff working at different locations will be handled. Fingerprint, facial recognition, RFID and manual alternatives should be compared against these workflows. A device can record an event without producing the approved attendance decision that payroll needs.

Compare standalone, networked and cloud arrangements

Ask where records are stored, how administrators retrieve them and what happens if the connection is unavailable. Identify the device, application and licence dependencies. Test time settings and the method for collecting events from multiple sites. If geofencing or mobile attendance is considered, include location-data access and the practical circumstances in which staff will use it. Obtain current product documentation rather than assuming every terminal supports the same export.

Set data and access responsibilities

Record who approves enrolment, accesses records and removes data when it is no longer needed. Review biometric and employee-data handling with the responsible business and legal owners. Consider a practical alternative when a person cannot use the selected reader reliably. Do not treat an attendance supplier as the sole authority on the organisation’s privacy obligations. Keep administrative privileges and recovery access under company control.

Pilot the payroll handover

Test enrolment, ordinary check-in, missed punches and representative shift patterns with authorised staff. Verify the report or export against the payroll process and have its owner approve the result. Record correction procedures and audit history. Train the people who maintain users and explain the support route. A complete handover covers records, exceptions and data ownership as well as installation of the device.
